How To Create Filters/Folders in Gmail

Gmail is one of the most popular email program from Google. Gmail allows user to customize its interface in varieties of ways. This article explains how to manage incoming emails using filters in Gmail. Filter can be used to automatically label, delete, archive, forward your email or keep it under a specific label, similar to folders in outlook or other traditional email services.  Filters can be created based on sender, recipients, subject etc.

Steps to create a filter:

  • Launch your Gmail application
  • Click on ‘Create a filter’ link , next to the Search the Web button at the top of Gmail page.

  • Enter the criteria you like to filter your emails with, for e.g. if you like to filter all the emails coming from abc@xyz.com, enter this email in from field. Similarly you can create a filter using a ‘TO’ email address, Subject or any word in the email content.
  • Once you done entering the require filter criteria, click on test search to verify that the emails you were trying to filter show up in the test search. If you have enter the filter criteria accurately, you will see all the matching emails in the test search results, otherwise try tweaking you filter criteria.
  • Once you confirm filtering criteria click on the “Next Step” button.

Filters in Gmail

    • Here you have to define the action Gmail should take on the emails that will matches the filter criteria. For e.g. if you want to forward all the emails you receive from abc@xyz.com to another email address select the option ‘Forward To’ and enter the email address.
    • Similarly you can choose a variety of actions. To create a virtual folder in Gmail select the first option ‘ (Archive it)’ this will remove all the email that matches your filter from inbox. Now select the option ‘Apply the label’ and either choose a label or define a new label. This will create a virtual folder in Gmail with the label name you choose and every email that matches the filter criteria will go under that label and it will not be visible in Inbox.
    • If you’d like to apply this filter to emails already in Gmail, select the Also apply filter to x conversations below check box.
    • Click on Create Filter and we are done.
